Job Summary

Our client is a reputable and growing company in the packaging industry, serving a diverse range of clients across South Africa. They are looking for a proactive and reliable Administrator to join their team in Bloemfontein. If you’re ready to jump into an exciting role where your enthusiasm and drive will be valued, we want to hear from you! Minimum Requirements: Matric (Grade 12) qualification At least 1 year of administration experience (entry-level candidates are also welcome) Proficient in Microsoft Office, especially Excel and Word Strong written and verbal communication skills Fluency in both Afrikaans and English Strong attention to detail and accuracy Self-motivated, proactive, and eager to learn Able to work independently and as part of a team Valid RSA driver’s license and own transport (or reliable transport) Must be willing to work overtime (will be arranged in advance) Skills Required: Strong organisational and time management abilities Excellent interpersonal and communication skills Quick learner with a positive attitude and adaptability in a fast-paced environment Ability to multitask, prioritize effectively, and handle pressure Basic understanding of office administration and procedures Duties Include: Perform basic reconciliations: Ensure accurate recording and balancing of financial transactions, including checking supplier and customer statements against internal records. Provide excellent customer service: Assist clients professionally and efficiently, responding to enquiries, resolving issues, and maintaining strong customer relationships. Manage reception and handle incoming calls: Serve as the first point of contact by answering phone calls, welcoming visitors, and directing queries appropriately. Prepare and issue quotations: Accurately compile and send out pricing quotes to customers, ensuring all information is correct and timely. Filing and general office administration: Maintain organised records of documents, invoices, and correspondence, both in physical and digital formats. Support with other day-to-day administrative tasks as needed: Assist team members with ad-hoc duties including data entry, scheduling, document preparation, and office coordination. Minimum requirements: Matric Fluent in Afrikaans and English 5 years administration experience Valid driver’s license and own vehicle (advantageous) Reliable transport Computer literate Proficiency on VeriClaim, Mac (Apple laptop) and IOS Duties and responsibilities: Typing and Preparing Reports: Accurately transcribe medical and procedural reports, patient summaries, and correspondence using dictated or written notes Opening and Managing Patient Files: Create, update, and maintain physical and electronic patient records in line with confidentiality standards and medical protocols Billing and Invoicing: Generate, submit, and track medical claims and invoices; liaise with medical aids, patients, and accounts departments for prompt payment Appointment Scheduling: Coordinate patient appointments, follow-ups, and procedures efficiently using the practice’s scheduling software. Reception and Front Office Support: Greet patients, answer calls, and provide basic information while ensuring a welcoming and professional front office environment Medical Aid Liaison: Verify benefits and authorizations with medical aids, follow up on unpaid claims, and ensure all required documentation is submitted correctly Record Keeping and Filing: Ensure all patient documentation, test results, and referrals are accurately filed and easy to retrieve when needed Office Supply and Inventory Management: Monitor and order necessary office and medical supplies to ensure smooth daily operations Data Entry and Database Management: Maintain accurate data in practice management systems, ensuring compliance with privacy and healthcare regulations Support to Clinical Team: Assist doctors and nurses with administrative tasks, such as preparing documents, referrals, and follow-up correspondence Skills required: Strong administrative skills Attention to detail Communication skills Fast and accurate typing skills Customer service orientation Billing and accounts knowledge Confidentiality and professionalism Problem-solving skills Team player Remuneration: R 8 500 Work hours: Monday – Friday: 07:30 – 16:00 IMPORTANT: Applications close 30 June 2025 Only applications submitted via the Ditto Jobs platform will be considered Only candidates who are shortlisted will be contacted No social media messages / comments will be responded to
