About the Role
We are seeking an experienced Senior Document Controller to join our team at C3 Resource Investments (Pty) Ltd. As a key member of our EPCM projects, you will be responsible for overseeing and implementing our Electronic Document Management System (EDMS), ensuring accurate document control, versioning, and traceability. You will also manage documentation across multiple engineering disciplines, coordinate sign-off processes, and lead document control activities for oil & gas, petrochemical, refinery, and industrial sectors.
Key Responsibilities
- Oversee, implement, and manage the Electronic Document Management System (EDMS), ensuring accurate document control, versioning, and traceability.
- Manage documentation across multiple engineering disciplines, ensuring alignment with project execution plans and compliance with ISO 9001 and other quality standards.
- Compile, structure, and hand over final documentation packages (EOJ/As-Built) to clients, coordinating sign-off processes across engineering and vendor documentation.
- Lead document control activities for EPCM projects in oil & gas, petrochemical, refinery, and industrial sectors.
- Supervise and guide project and site-based document controllers, ensuring the latest revisions of drawings and documentation are issued and controlled.
- Liaise with project managers, engineers, vendors, and contractors to resolve technical queries and expedite outstanding documentation.
- Conduct regular audits and compliance checks to ensure document integrity and regulatory alignment.
- Produce accurate document registers, transmittals, reports, and progress tracking for senior management and clients.
- Provide training, mentoring, and support to project personnel on document control procedures and systems.
- Drive continuous improvement of document control processes to enhance efficiency and reduce rework.
Requirements
Education & Qualifications
- Matric / Grade 12 (essential)
- Relevant certificate or diploma in document management, project administration, or information systems (advantageous)
Experience
- More than 2+ years’ experience in document control, including at least some time in a lead role within the EPCM/engineering or construction sector.
- Proven track record managing end-of-job/final documentation handovers on large-scale industrial projects.
- Hands-on experience with EDMS platforms (SAP, SharePoint, Aconex, etc.) and MS Office Suite.

- Excellent time management, organizational, and multitasking abilities.
- Strong analytical and problem-solving skills with attention to detail and accuracy.
- Ability to manage high volumes of technical documentation under tight deadlines.
- Effective communicator with strong interpersonal and team leadership skills.
- Knowledge of EPCM practices, ISO 9001, NEC/FIDIC contracts, HSE/OSH Act, and construction documentation requirements.
