About the Role
The Passenger Vehicle Stock Controller will play a critical role in maintaining accurate records of new and used vehicle stock, ensuring compliance with manufacturer and dealership requirements, and providing regular stock reports to management. This position requires strong organizational skills, attention to detail, and excellent communication abilities.
Key Responsibilities
- Maintain accurate records of all new and used vehicle stock
- Capture vehicle purchases, transfers, and sales transactions on the dealership management system
- Monitor stock aging and provide regular stock reports to management
- Ensure all vehicle information, including VIN numbers, engine numbers, and specifications, is accurately recorded
- Track vehicle arrivals, stock allocations, and dealer transfers
- Prepare and process vehicle invoices accurately and timeously
- Manage vehicle registration and licensing administration where required
- Process vehicle rebates, incentives, and manufacturer claims
- Perform regular stock reconciliations between physical stock and system records
- Investigate and resolve stock discrepancies promptly
- Reconcile floorplan financing and vehicle stock funding accounts
- Assist with month-end stock counts and reporting requirements
- Prepare stock reports for management, accountants, and financial departments
- Monitor stock values and report variances or irregularities
Requirements
- Grade 12 (Matric) Certificate or Diploma in Administration, Accounting, Finance, or a related field in the automotive industry
- Minimum 25 years’ experience as a Vehicle Stock Controller within a franchised motor dealership
- Proficiency in Microsoft Excel and dealership management systems
- Experience with systems such as DMS, Evolve, or similar
