About the Role As a Payroll Administrator, you’ll be responsible for maintaining payroll accuracy, resolving employee queries, managing system updates, and ensuring all statutory requirements are met. You’ll be the go-to liaison between HR, Finance, and third-party payroll vendors, playing a crucial role in ensuring payroll runs smoothly and compliantly across the business. Key Responsibilities Onboard new employees and verify ID, banking, and tax information Process and maintain payroll data in Sage People300 & ESS Liaise with vendors for background checks and manage invoice processing Apply for income tax numbers and tax directives via SARS eFiling Administer staff loans, advances, and Paycurve deductions Handle leave processing, Jira ticket queries, and employee updates Prepare and process monthly referral fees in collaboration with the recruitment team Export payroll and employee data reports (e.g., terminations, banking, variances) Administer ESS access, password resets, and payroll system permissions Act as liaison with VAT IT and external Sage consultants (T3T) Assist with audit preparation and employee document back scanning (DocuVision) What You’ll Bring Proficient in Sage People300 & ESS Strong financial and computer literacy, particularly Excel Excellent administrative and time management skills High attention to detail and confidentiality Sound knowledge of South African labour law and BCEA Effective communication and problem-solving abilities Ability to work independently and meet deadlines under pressure Nice to Have Experience using Jira ticketing systems Prior involvement in DocuVision or similar digital HR file projects Exposure to external payroll software vendors and integrations What’s On Offer Join a dynamic and well-structured payroll function Hybrid working model with exposure to multi-entity operations Supportive environment focused on employee wellbeing and compliance Opportunity to contribute to large-scale process and system improvement initiatives Company Culture Our client fosters a collaborative, compliant, and employee-centric culture. Duties and Responsibilities: Payroll Processing: Accurately process, from different sources (Timesheets/Biometrics), monthly, weekly, or bi-weekly payrolls for employees, ensuring that all data is entered correctly into the Pastel Payroll system. Compliance: Ensure compliance with all applicable tax laws, statutory requirements, and company policies, including the timely submission of tax filings (e.g., PAYE, UIF, SDL). Payroll Queries: Respond promptly and professionally to employee payroll inquiries and resolve any issues regarding pay discrepancies, deductions, or benefits. Work with HR to resolve all queries. Report Generation: Generate and distribute detailed payroll reports such as payslips, tax reports, and year-end reports. Provide summaries for accounting and HR departments. Reconciliations: Reconcile payroll data and reports, ensuring all deductions, benefits, and taxes are correctly applied. Record Keeping: Maintain accurate and up-to-date payroll records, ensuring all employee information is stored securely and confidentially. End-of-Year Processing: Assist with year-end processes such as generating IRP5s, tax certificates, and ensuring all payroll-related documentation is accurate and ready for submission. Payroll Software Maintenance: Keep the Pastel Payroll system up to date with employee data, tax rate changes, and new payroll-related information. Auditing: Assist with internal and external payroll audits as required. Qualifications And Skills Requirements: Bachelors degree or National Diploma in Accounting, HR, or a related field. At least 2-3 years of experience in payroll administration, with a strong emphasis on Pastel Payroll software. 3 years of experience in accounting, preferably in manufacturing or procurement. Strong understanding of tax legislation (e.g., PAYE, UIF, SDL) and other statutory obligations. Strong focus on accuracy and confidentiality with a methodical approach to work. Ability to communicate effectively with employees and management regarding payroll issues. Ability to manage multiple priorities simultaneously. Excellent knowledge of payroll best practices. Experience working with HR to resolve all Payroll queries. Package & Remuneration: Will be agreed based on qualifications, applicable experience and previous earnings.

My client is seeking a detail-oriented and experienced Payroll Administrator to join their team. The successful candidate will be responsible for overseeing payroll processes and ensuring accuracy, compliance, and efficiency in payroll administration. If you have strong analytical skills, a keen eye for detail, and the ability to work in a fast-paced environment, then we encourage you to apply. This role is based in Springs, Johannesburg East. Key Responsibilities: Administer payroll information and ensure accurate payroll processing. Validate, check, and capture payroll and leave input. Compile and review payroll variances and other relevant controls before payroll finalization. Guide Payroll Clerks and business units on new payroll processes and forms. Validate dismissals/resignations and verify final pay-outs. Resolve second-line payroll-related queries within agreed service levels. Review and approve interim payments. Oversee payroll filing and ensure proper documentation. Manage the printing and distribution of payslips on a weekly/monthly basis. Organise and implement payroll processes to ensure smooth and timely payroll runs. Reconcile payroll data with third-party vendors and resolve discrepancies within 30 days. Compile and distribute month-end reports to business units. Manage month-end processes, including preparation and reconciliations. Recommend improvements and implement changes in payroll processes and systems. Test cost components and legislative changes affecting payroll. Report system issues to the IT department and ensure the resolution thereof. Participate in and contribute to payroll-related projects and initiatives. Provide payroll-related information to management, customers, and other stakeholders as needed. Ensure compliance with company policies, the delegation of authority, and statutory legislation. Perform ad hoc duties as required within the scope of the role. Job Experience and Skills Required: Diploma in Finance or Payroll-related. 5 years proven experience in payroll administration, with a headcount of 1 000 employees. Must come from a Shared Services environment. Strong knowledge of payroll processes, legislation, and compliance requirements. Excellent attention to detail and accuracy in payroll processing. Strong problem-solving skills and ability to resolve payroll queries effectively. Ability to work under pressure and meet strict deadlines. Strong communication and interpersonal skills. Participate in payroll-related projects and initiatives. Deliver exceptional internal customer service and maintain strong working relationships. Job Experience and Skills Required: Matric Certificate with Maths and Accounting (Maths Literacy not sufficient). At least 8 years experience in Payroll Administration. Requirements and Skills Proven work experience as a Payroll Administrator or similar role Proficiency in Microsoft Office and a payroll software programs Excellent Excel abilities, must understand Pivot Tables and Vlookups Strong numerical aptitude and attention to detail Excellent communication skills, both verbal and written Good time management and organizational skills Degree in business administration, finance or accounting a must Key Responsibilities: Weekly wages for 150 Staff Salaries for 4 companies approx 150 staff Total Calculating payable hours, commissions, bonuses, tax withholdings and deductions Managing electronic timekeeping systems or manually collecting and reviewing timesheets Providing information and answering employee questions about payroll-related matters Payrol software is Payspace Download all Wage Monthly reports SANLAM provident fund recon & Payments Sanlam Group Life GRN and Payment to be loaded Garnishees loaded on the bank for payment (if it’s off the bank it means it has been paid) PAYE Return Submission & POP loaded on GRN PAYE Return Submission & POP loaded on GRN in Interactive Sales Figures calculated on Excel Report – Actuals vs Budget emailed to Managers Commission Calculations done and sent out – Sales Staff SSC Return Submission (Social Security) & checking if POP was loaded onto GRN & send POP to Stier Vente – Namibia VET Levy Return (NTA) – Namibia ITAS PAYE Return Submission AND loading onto ITAS after payment – Botswana Branch Incentives received and checked Payment of Salaries Sanlam Unboarding and removing of staff Send salary breakdown to Debtors as soon as paid Wages Every Wednesday, check clockings, confirm overtime with managers, load incentives – 150 Employees Loading of new employees Terminating of any employees

Job Description

This role is perfect for a Payroll Administrator who takes pride in accuracy, efficiency, and confidentiality. Youll manage the end-to-end payroll process using SAP, ensuring every employee is paid correctly and on time while maintaining compliance with all statutory requirements. Working closely with HR, Finance, and auditors, youll be the go-to expert for payroll queries, system troubleshooting, and data integrity within a fast-paced, professional environment. Key Responsibilities: Manage and process the full payroll cycle on SAP, including validations, adjustments, and reconciliations. Administer employee benefits, deductions, and statutory submissions (EMP201, EMP501, provident fund, etc.). Maintain employee records and ensure all changes (promotions, terminations, etc.) are accurately updated. Handle SAP Time Management (PTMW and FLOW), ensuring accurate time and attendance records. Maintain the organisational structure within SAP, including cost centre allocations and position creation. Serve as the main contact for payroll-related queries, ensuring professional and confidential employee support. Collaborate with IT and consultants on SAP-related issues or updates. Conduct payroll audits and ensure compliance with labour laws, tax regulations, and company policies. Design and manage SAP authorizations and access controls. Experience and Skills Required: Bachelors degree in Accounting, Finance, Human Resources, or a related field. 57 years experience in payroll administration (SAP or Sage experience highly advantageous). Strong understanding of South African payroll legislation and statutory reporting. Advanced proficiency in MS Excel and data validation techniques. Exceptional attention to detail, accuracy, and confidentiality. Excellent communication and problem-solving skills. Customer serviceoriented mindset with a proactive approach to resolving queries.
