About the Role

We are seeking a highly organized and detail-oriented Project Administrator/Office Manager to join our team in Johannesburg. The ideal candidate will have excellent communication and interpersonal skills, with the ability to work independently and as part of a team. As an administrator, you will be responsible for providing general administrative support, managing office operations, and ensuring seamless project administration.

Key Responsibilities

  • Provide general administrative support
  • Take and distribute meeting minutes
  • Arrange travel bookings and logistics
  • Maintain sales filing systems and documentation
  • Assist sales staff with customer proposals, presentations, and reports
  • Prepare manuals, copies, scans, and presentation materials
  • Coordinate office cleaning, repairs, and maintenance
  • Oversee company vehicle fleet maintenance, servicing, and repairs
  • Assist with project administration, audits, and HSE documentation
  • Manage office purchases including stationery, groceries, and cleaning supplies
  • Process and track non-stock purchase orders in line with authorization procedures
  • Liaise with suppliers and follow up on invoices
  • Manage incoming calls, messages, and visitor reception
  • Coordinate entertainment and hospitality arrangements
  • Handle incoming and outgoing correspondence
  • Process field service reports and generate sales orders
  • Ensure customer orders align with quotations and sales orders
  • Conduct job costing and reconcile with WIP reports
  • Follow up on open jobs and outstanding purchase orders
  • Assist with debtors queries and payment follow-ups
  • Conduct customer courtesy calls and maintain customer feedback
  • Work on Ariba and related systems

  • Matric Financial Administration qualification (advantageous)

  • Excellent communication and interpersonal skills
