About the Role
The role of a Secretary in our Financial Services team is an exciting opportunity for a highly organized and detail-oriented individual to join our dynamic team. As a key support function, you will be responsible for providing administrative assistance to our financial advisors, ensuring seamless day-to-day operations, and maintaining accurate records.
Key Responsibilities
- Scheduling meetings, general office administration, correspondence with clients and service providers
- Assisting the financial advisor in servicing existing and new clients, including preparation of meeting documentation, application forms, and follow-ups
- Filing, capturing client data, updating spreadsheets and word documents
- Processing of new business, pre-populating documentation, checking proposals and application forms, submitting to service providers/insurance companies
- Following up on client transactions, implementation of new business, and summarizing portfolio information
- Drawing statements from service providers and maintaining client portfolio records
- Preparing presentations, investment summaries, and documentation for client review meetings
- Assisting with FAIS and FICA compliance and other compliance requirements
- Scanning to file all new business documents in client folders
- Performing general office duties, including filing, scanning, printing, ordering stationery, and other tasks as required
- Being telephonically available for client queries and acting as the initial point of contact
- Maintaining an appropriate filing and recording system, both hardcopies and electronically
- Ensuring investments and assets under management are up-to-date and current, sending out statements on a monthly basis
Requirements
- Grade 12 (Essential)
- 3+ years’ experience at a financial advisory practice is advantageous
- Post Matric qualification will be an advantage
- Strong written and verbal language skills in both Afrikaans and English essential
- Strong computer skills essential
- Own vehicle, transport, and driver’s license essential
