Job Description

Role Overview The Quality Systems Coordinator is responsible for coordinating, administering and continuously improving the Groups Quality Management Systems across the Business. The role acts as a key coordination point between operational teams, functional stakeholders, IT and external service providers to ensure digital management systems effectively support operational requirements, compliance obligations, reporting visibility and continuous improvement initiatives. The role supports the Groups drive toward automation, digitalisation, standardisation and integrated management system effectiveness and plays an active role in driving user adoption, system optimisation, reporting capability and management system alignment across operations. Key Responsibilities 1. Systems Administration & Coordination Serve as the primary coordinator and systems administrator for Quality Management platforms across the Group. Coordinate system configuration, workflow design, updates and enhancements to ensure alignment with operational, compliance and reporting requirements. Engage with operational stakeholders to understand business requirements and support the development of practical system-based solutions. Coordinate with IT teams and external vendors regarding system performance, upgrades, integrations, technical support requirements and issue resolution. Drive standardisation and integration of Quality processes, data and documents within digital systems where applicable. 2. Data Management, Reporting & Insights Coordinate the integrity, consistency and governance of Quality data across digital platforms. Develop and maintain dashboards, management reports and system-based reporting tools to support operational and leadership decision-making. Analyse trends, recurring issues and system data to identify risks, improvement opportunities and areas requiring management attention. Support management review processes through the preparation and coordination of system performance reporting and analytics. 3. Compliance, Audit & Systems Governance Coordinate system-based compliance monitoring activities aligned to ISO 9001, ISO 14001, ISO 45001 and ISO 22000 requirements. Support internal and external audits through the coordination and provision of system-based evidence, records, reports and dashboards. Coordinate the tracking and follow-up of corrective actions, system gaps and audit findings within digital management systems. Support the standardisation and governance of management system processes, records and reporting methodologies across operations. 4. Stakeholder Engagement, Training & Support Engage with operational and functional stakeholders to support effective utilisation and continuous improvement of digital management systems. Facilitate user engagement sessions, system training and awareness initiatives to improve system adoption and reporting quality across the business. Provide technical guidance and user support relating to Quality digital platforms. Support operational teams in resolving system-related process and reporting challenges. 5. System Governance & Access Management Coordinate user access administration and permission controls in line with approved governance and IT security requirements. Monitor system governance practices to support the integrity, confidentiality and traceability of management system data and records. Support compliance with document control and records management requirements within digital systems. 6. Continuous Improvement & Digitalisation Identify and coordinate opportunities to improve workflow automation, reporting visibility, system usability and management system efficiency. Participate in digitalisation and process improvement initiatives relating to Quality Management Systems. Research and recommend improvements, technologies and best practices relating to integrated management systems and digital governance. 7. Effective Teamwork and Self-Management Take ownership and accountability for responsibilities, tasks and deliverables and demonstrate effective self-management, planning, prioritisation and continuous self-development. Maintain professional, collaborative and respectful working relationships with colleagues, clients and stakeholders and communicate effectively to manage expectations and resolve challenges. Demonstrate an understanding of operational requirements and stakeholder needs and contribute to the achievement of team and business objectives. Consistently deliver work to the required quality, service and productivity standards within agreed timelines. – Support and promote the Companys values, culture, continuous improvement and commitment to operational excellence. Participate in performance management, training and development initiatives to support individual and business growth. Qualifications and Experience Certificate or Diploma in Quality Management, Information Systems or related field. Training or working knowledge in ISO 9001, ISO 14001, ISO 45001 and ISO 22000 management systems. – Internal Auditor certification in one or more ISO standards would be advantageous. Minimum 35 years experience coordinating or administering Quality or integrated management systems within a multi-site or operational environment. Experience engaging with operational stakeholders and supporting system implementation or continuous improvement initiatives. Experience working with digital management systems, workflow platforms, or compliance management software would be advantageous.
