Job Title: IT Systems Specialist Employment type: Full time Location: In office, Gardens, Cape Town Reporting to: Head of Operations Working Setup: 40 hours per week, Mondays to Fridays, 10:00 to 19:00 The Business: The Legends Agency is working towards a simple mission: to become the best and biggest recruitment and employer-of-record (EOR) service in South Africa. Co-Work Cape Town is the operational and workplace hub supporting both The Legends Agencys internal teams and our EOR client employees. The space is designed to create a productive, professional, engaging, and high-performance working environment where people can thrive. The Facilities / Office Manager plays a critical role in ensuring the smooth day-to-day operation, presentation, safety, functionality, and experience of the workplace environment. The Role: We are seeking a mid-level IT professional to serve as the technical lead for our digital workplace, we are proud to say that we are completely paperless. This position balances high-level administration of Google Workspace and Slack with “on-the-floor” software support. You will be responsible for the full lifecycle of our software stackfrom initial CRM/ATS setup and ESET security deployments to real-time troubleshooting for our staff. This is a hands-on role requiring a mix of systems architecture and direct user interaction. The responsibilities of this role includes: Core Systems Administration Google Workspace: Full group domain management, including user lifecycle, Shared Drive architecture, and advanced security (MFA, DLP, and Vault). Slack Management: Administer the workspace, manage guest access, and build automated workflows to improve team efficiency. Microsoft Suite: Support and configure Microsoft 365 applications and ensure seamless integration within a primarily Google-based environment. Software Operations & Security Security (ESET): Deploy and manage ESET PROTECT across all endpoints; monitor for threats and ensure all security policies are enforced. CRM Setup: Handle onboarding and offboarding of users and user permissions, as well as assist users with systems technical queries regarding email and phone connectivity. ATS Management: Oversee the Applicant Tracking System onboarding and offboarding of users, as well as assist users with system technical queries regarding email and phone connectivity. On-the-Floor & Technical Support Software Support: Provide immediate, face-to-face troubleshooting for software glitches and configuration errors across macOS and Windows. Onboarding/Offboarding: Manage the technical “Day 1” experience, ensuring all hardware is provisioned with the correct software profiles and access rights. Hardware/Network (Nice to Have): Basic troubleshooting of office Wi-Fi, and conferencing hardware; maintaining an organised inventory of IT equipment. Documentation & Training Process Mapping: Create and maintain documentation for system setups and internal IT SOPs. Staff Guidance: Provide “desk-side” training to help employees maximise their use of Google Workspace and Slack. Qualifications and Experience: Education: Bachelors degree in Computer Science, Information Technology, or a related field (or equivalent practical experience). Experience: 35 years in a dedicated IT Operations, Systems Administration, or Desktop Support role. Google Workspace Expert: Proven experience managing a Google Workspace domain, including Google Cloud Identity and Google Vault. Slack Power User: Experience as a Slack Admin, specifically managing permissions, app integrations, and Workflow Builder. Security & EDR: Hands-on experience with ESET PROTECT or similar enterprise-grade security suites (e.g., CrowdStrike, SentinelOne). Business Systems: Demonstrated experience in the technical setup and administration of CRMs (Close, Salesforce) and ATS platforms (RecruiterFlow, Lever). OS Proficiency: Advanced troubleshooting skills in a mixed environment ( 5% macOS / 95% Windows ). Certifications: Google Professional Collaboration Engineer, Slack Certified Admin, or CompTIA Network advantageous. Networking: Basic understanding of TCP/IP, DNS, DHCP, and experience managing office Wi-Fi (Ubiquiti/Meraki) advantageous. Automation: Familiarity with Google Apps Script or automation tools like Zapier/N8N advantageous. Compensation Package: Bonus Incentive: We operate a Group Bonus Scheme based on quarterly performance, effective in the first full quarter after probation. There are five set objectives per quarter, with a bonus pool of up to 10% of your total basic salary earned during that period. If the employee meets all five objectives, they will receive 10% of their total quarterly salary. Medical Aid: Upon successful completion of the probation period, you will qualify for subsidised employer medical aid through Discovery Health Medical Aid.
