About the Role
We are looking for a detail-oriented and professional Programme Administrator to join our head office team at KayTech Nexa. This is the operational backbone role of our company, managing learner records, tracking monthly fees, coordinating school schedules, handling correspondence, and supporting the director with day-to-day business operations.
Key Responsibilities
- Manage and maintain the learner enrolment database for all active school partnerships
- Track monthly fee payments across all schools and follow up on outstanding amounts
- Reconcile fee collections monthly and provide financial summaries to the director
- Prepare and send parent communications — enrolment notices, fee schedules, and programme updates
- Coordinate classroom schedules across all schools — liaise with schools and instructors
- Maintain and update the school partnership register — contact details, contract dates, and renewal dates
- Assist with the preparation and formatting of school proposals, contracts, and agreement letters
- Manage the company email inbox and draft professional correspondence on behalf of KayTech Nexa
- Maintain the equipment asset register — track all devices deployed to schools
- Order and track office and classroom supplies
- Assist with onboarding documentation for new employees
- Maintain employee leave records and notify the director of any staffing issues
- Support the director with meeting scheduling, travel arrangements, and document filing
Requirements
- Matric Certificate (minimum) — Diploma or Degree in Business Administration or Office Management preferred
- Minimum 2 years of office administration or coordination experience
- Advanced Microsoft Word and Excel skills — essential
- Demonstrated experience managing financial records or invoicing
- Excellent written communication — professional, error-free emails and letters
