Job Description

Job functions –Primary Responsibilities (May include but not limited to the below) Manage and answer incoming switchboard calls, directing enquiries to the appropriate departments and personnel. Prepare and send email correspondence, including requests for debtor-related documentation and information. Coordinate and place orders for office consumables, including drinking water, toner cartridges, and stationery supplies. Scan, file, and maintain electronic records of job cards and technical deal files. Arrange and monitor the collection and delivery of documents, ensuring timely follow-up with both internal and external stakeholders. Compile and submit monthly staff attendance registers. Prepare and distribute weekly staff leave reports to the Human Resources department. Compile and submit weekly staff attendance reports to management. Liaise with cleaning staff to ensure office cleanliness and maintenance standards are maintained. Welcome and assist visitors and guests upon arrival, ensuring professional reception experience. Provide administrative support and assistance to the Personal Assistant as required. Maintain and distribute updated staff extension lists to ensure accurate internal communication. Maintain and circulate updated emergency evacuation lists in accordance with company safety requirements. Perform general administrative duties and provide operational support to ensure the efficient functioning of the branch.

About the Role

The Receptionist plays a vital role in providing exceptional customer service to clients, visitors, and callers who interact with our company. This is an opportunity for a friendly, organized, and helpful individual to join our team.

Key Responsibilities

  • Answer all incoming calls promptly and professionally.
  • Transfer calls to the correct person or department efficiently.
  • Take accurate, complete messages when the intended recipient is unavailable.
  • Manage the reception email inbox where applicable.
  • Greet all visitors and offer refreshments upon arrival.
  • Maintain the refreshment station – stocked, clean, and ready at all times.
  • Ensure the reception and waiting area is clean, tidy, and welcoming throughout the day.
  • Handle and maintain the firm’s shopping list, grocery, office supply, and reorder supplies.
  • Manage the petty cash or purchasing card for grocery and supply purchases.
  • Source quotes for any larger purchase where requested by the Supervisor or Manager.
  • Scan documents for the team and Partners as requested.
  • Assist with physical filing, document organization, and archiving.
  • Prepare and collate documents for meetings, client packs, or presentations as directed.
  • Provide general administrative support to any department as directed.
  • Make bookings and reservations as requested.
  • Arrange practical services for the office or the Partners as required.
  • Solve practical problems efficiently.
  • Follow up on bookings and arrangements to confirm they are in place.

Requirements

  • Matric essential
  • Post-Matric study or enrolment in a relevant qualification (strong advantage)
  • Prior reception or front-of-house experience (preferred)
  • Computer proficiency, Microsoft Office minimum
  • Well-spoken and articulate in English – clear diction, warm tone, and professional manner on the phone and in person
  • A second South African language (strong advantage)

We are seeking a highly organized and communicative Receptionist to join our team in Durban. The ideal candidate will be responsible for ensuring the smooth operation of our reception area, managing visitor and delivery arrivals, and maintaining excellent relationships with clients and staff.
