About the Role

We are seeking an experienced and skilled Debtors & Invoicing Controller to join our team at Pro-Match Recruitment in Gauteng. The successful candidate will be responsible for managing high volumes of customer invoices, processing inventory journals, and ensuring seamless order processing. Key Responsibilities

• Process and manage high volumes of customer invoices within Sage Pastel.
• Convert quotes and sales orders into finalized invoices, ensuring accuracy and completeness.
• Verify pricing, quantities, and order details against supporting documentation (e.g. floor sheets).
• Ensure timely invoicing to prevent delays in order dispatch and delivery.
• Maintain visibility of order status and ensure alignment between finance and operations.
• Perform regular customer account reconciliations and resolve discrepancies.
• Monitor debtor balances and identify outstanding or overdue accounts.
• Conduct customer ageing analysis on a weekly basis.
• Generate and distribute customer statements in line with company procedures.
• Liaise with internal stakeholders to resolve invoicing or payment-related issues.
• Process inventory journals in Sage Pastel to reflect operational activities, including:
• Product transformation (e.g. primal to portioned goods)
• Value-added production processes
• Ensure stock movements are accurately recorded and aligned with physical stock.
• Support the integrity of inventory records through accurate and timely processing.
• Work closely with the Operations Manager and sales team to ensure seamless order processing.
• Communicate effectively regarding order readiness, invoicing status, and discrepancies.
• Support operational efficiency by ensuring finance processes do not delay delivery timelines.
• Maintain accurate and structured filing of all financial documentation, including:
• Proof of Deliveries (PODs)
• Invoices and supporting records
• Ensure all documentation is audit-ready and easily traceable.
• Adhere to internal controls and financial procedures at all times.

Requirements

• 2–3+ years’ experience in a similar role (Assistant Accountant, Bookkeeper, or Debtors Controller).
• Sage Pastel experience (non-negotiable).
• Relevant finance qualification advantageous but not essential.
