PURPOSE OF THE POSITION The Junior Accounting Clerk is responsible for ensuring the correct billing and collection process for all managed rental units in his/ her portfolio. The Junior Accounting Clerk will obtain relevant info from Landlords and/ or Rental Agents to forward to TWC FC for monthly billing. The Junior Accounting Clerk is responsible for recordkeeping within the portfolio, as well as updating and maintaining client information within the portfolio. The Junior Accounting Clerk will resolve , escalate or allocate email and telephonic queries related to the portfolio as appropriate, while complying with the company communication policy. SCOPE The Junior Accounting Clerk reports to the Rentals Controller and is responsible for administration and query resolution within the portfolio. These responsibilities include liaising with different stakeholders including Landlords, Tenants, councils, colleagues and management. The Junior Accounting Clerk will also be responsible for updating system information where requested. This position will be the liaison between Tenant and Landlord. RESPONSIBILITIES TWC RENTALS MANDATE ON OWN PORTFOLIO Receiving signed mandate from Landlord/ Rental Agent Ensuring all relevant documentation has been completed, signed and included in the file Ensuring mandate accurately details collection commission and beneficiaries payable Ensuring details completed are correct and match in all sections of documentation NEW LEASES ON OWNPORTFOLIO TWC: Verifying affordability by scrutinising bank statements/ pay slips TWC: Ensuring the Landlord has accepted a Tenant where the credit rating is poor TWC: Forwarding documentation to TWC FC for loading once all notes have been updated ENTRANCE INSPECTIONS ON OWN PORTFOLIO Noting the SIGNED Entrance Inspection on the system Following up on outstanding Entrance Inspections RENTAL STATEMENT ON OWN PORTFOLIO Checking of snapshot as provided by TWC FC Checking of rent roll to confirm that all monthly charges have been added Confirming that vacant units have not been charged rent ARRANGEMENTS ON OWN PORTFOLIO Escalating all arrangement requests from Tenants to Landlords Making system notes upon acceptance of arrangement from Landlord, to prevent Tenants from being blocked on Pre-paid Following up on agreed arrangements to ensure payment is received ARREARS- TWC ON OWN PORTFOLIO Selecting, previewing and sending first SMS reminder, as per monthly timeline for TWC Tenants in arrears Selecting, previewing and sending second SMS reminder, as per monthly timeline for TWC Tenants still in arrears Selecting, previewing and sending SMS Cut Warning, as per monthly timeline for TWC Tenants still in arrears Cutting electricity for TWC Tenants still in arrears, as per monthly timeline, by sending a written request to the relevant TWC Rental Agent, as per monthly timeline, and on applicable buildings only Receiving written confirmation from the TWC Rental Agent that electricity has been cut for TWC Tenants still in arrears, as per monthly timeline Confirming payment for electricity to be reconnected Notifying Landlords of short- payment or non- payment and reminding them of beneficiary payments as per monthly timeline Notifying owners of vacant units Sending breach letters to TWC Tenants still in arrears, as per monthly timeline Sending eviction letters to TWC Tenants still in arrears, as per monthly timeline NOTICE AND REFUNDS- TWC Receiving Tenants written notice 1 calendar month prior to lease expiry date Applying relevant penalties where notice period is not adhered to Drafting notice letters under Landlord instruction Amending unit status on system, sending SMS to Landlord, Tenant and Agent Charging inspection fee as appropriate Completing Deposit Refund Form Receiving SIGNED Exit Inspection from TWC Rental Agent Forwarding of Deposit Refund Form to STss Maintenance Confirming proof of payment and Tenant banking details for refund payment by Office Manager Closing the file by scanning/ filing of documentation and closing RENEWALS- TWC Receiving addendum to original lease agreement to extend the lease period, accompanied by updated proof of income and credit check Ensuring renewal has been signed by tenant and owner, and that the lease period is accurate Ensuring the renewal fee and deposit top-up is calculated correctly Verifying affordability and credit rating Following up with Agents wrt incorrect/ outstanding information/ documentation Updating system CANCELLATION OF MANDATE Receiving written notification from Landlord Preparing Refund Form and attaching resolution for owner signature Updating property status on system Making system notes Informing Tenant of change, and advising that deposit has been transferred as relevant Updating system as per SOP when unit is being SOLD/ AUCTIONED DATA CAPTURING Capturing levy amounts for clients with EXTERNAL Managing Agents Capturing Rates and Taxes amounts on all clients Monitoring receipt of all Rates and Taxes accounts Escalating appropriately where not receiving Rates and Taxes accounts FILING AND SCANNING Scanning of leases onto system Filing of leases Sending leases to owners GENERAL Attending to telephonic and emailed queries within the company communication policy MINIMUM QUALIFICATION The incumbent must have completed a minimum of Matric (Grade 12) and have an excellent command of English as written and spoken language. A tertiary qualification in accounting will be advantageous. Previous experience in the rentals industry, with specific reference to service delivery will be advantageous. There are a number of deadlines and expected turn- around times within this position, which may cause the incumbent stress. The incumbent is further required to work accurately with a minimum tolerance for data entry errors. The incumbent will be required to deal with a wide variety of personalities on various matters. The incumbent will be required to train new appointees on processes and the system.
