About the Role
The Dispatch Manager will be responsible for managing the dispatch employees, ensuring that customers receive the correct order as per the picking slips, and maintaining efficient dispatching processes. The successful candidate will also be responsible for stock rotation according to FEFO & FIFO principles and conducting regular stock takes of products in the fats and bones freezer.
Key Responsibilities
- Receiving picking slips and factory shop requisitions from the sales department on a daily basis.
- Selecting stock as per the picking slip for dispatching the next day.
- Ensuring that all orders are picked, scanned, and weighed correctly.
- Responsible for correct loading and dispatching of all orders as per the picking slips.
- Checking that trucks conform to pre-loading requirements before loading commences.
- Preloading trucks when necessary and ensuring that the correct documentation has been completed and issued (Halaal, movement, QC documents).
- Confirming picking slips with sales at the end of the day.
- Sealing of trucks with security seal and completing seal register and all necessary documents.
- Ensuring there is no unnecessary delay in dispatching.
- Maintaining a clean and sanitized department as per company procedures.
- Conducting Halaal inspections for all Halaal orders and issuing necessary documents.
- Ensuring product safety by locking all chillers and freezers and safe keeping of keys with the deboning manager.
- Managing staff in the department, ensuring discipline, and adherence to Hygiene code of conduct and company policies and procedures.
- Verifying that the PERSONAL HYGIENE FITNESS CHECK LIST has been completed in the morning before production begins.
- Allocating loaders for preloaded trucks and ensuring they leave on time between 06:30 & 07:00.
- Treating customers in a friendly and efficient manner.
- Checking the integrity of vacuum bags, boxes, and crates before dispatching.
- Communicating continuously with sales regarding any shortages of stock or if stock picked does not correlate with stock ordered.
- Completing stock take of frozen product in the fats and bones freezer and investigating and addressing any variances on a weekly basis.
- Receiving returns, completing returns documents, and reporting to Quality Assurance manager as needed.
- Complete job cards and report to maintenance manager.
