Job Description

Our client, an international trading business with a strong global footprint, is seeking a highly organised and proactive Office Manager to support their Stellenbosch office . The successful candidate will ensure smooth daily operations, provide a professional front-of-house experience, and support both senior leadership and the wider team with administrative, travel and coordination requirements. Key Responsibilities Office & Facilities Management Oversee the daily running of the Stellenbosch office Maintain a polished, professional and welcoming office environment Manage building access, meeting rooms, suppliers and office facilities Coordinate maintenance, cleaning services and office stock Administration & Executive Support Provide administrative support to senior management and the broader team Manage calendars, internal schedules and meeting bookings Assist with onboarding and internal staff coordination Handle confidential information with discretion and professionalism Travel & Logistics Coordinate domestic and international travel (flights, accommodation, transfers) Prepare and manage travel itineraries and approvals Maintain travel records and ensure compliance with internal policies Reception & Visitor Management Act as first point of contact for guests, suppliers and external stakeholders Manage reception duties, hospitality, meeting preparation and boardroom setup Provide support to the Johannesburg and Durban offices when required Compliance & Office Governance Act as the Health & Safety representative for the Stellenbosch office Maintain confidentiality, POPIA compliance and internal procedures Support filing, documentation, and internal system discipline Requirements Proven experience in office management or senior administrative support Strong organisational skills and attention to detail Excellent communication and interpersonal skills Proficiency in MS Office (Outlook, Word, Excel, Teams) Experience managing travel logistics and coordinating multi-party schedules Professional, polished and confident presence Ability to work independently, prioritise effectively and solve problems Experience in a trading, logistics or fast-paced corporate environment advantageous Personal Attributes Professional and presentable Proactive and solutions-focused Calm and composed under pressure Strong relationship-builder and team player Takes ownership and delivers high-quality work Confidential, ethical and trustworthy
