About the Role
We are seeking a highly organized and detail-oriented Receptionist / Junior Transfer Secretary to join our team at Cecile Personnel (Pty) Ltd. As the first point of contact for clients, you will be responsible for providing exceptional customer service while ensuring seamless day-to-day operations.
Key Responsibilities
- Welcome and assist clients in a professional and friendly manner
- Manage incoming calls and operate the switchboard efficiently
- Maintain a neat and client-ready reception area at all times
- Handle incoming and outgoing couriers, Docex, and deliveries
- Manage diaries, bookings, and reception flow
- Manage office supplies, stationery, and refreshment stock
- Oversee pool car bookings and usage records
- Handle post office visits and daily banking tasks
- Maintain accurate records, filing systems, and internal databases
- Manage email inboxes and ensure server capacity is maintained
- Track deliveries and follow up on outstanding items
- Receive and distribute deeds and legal documents
- Ensure all parcels and documents are signed for and distributed timeously
- Efficient handling of incoming calls and message taking
- Escalate client complaints to management when necessary
- Report system faults and ensure smooth daily operations
- Assist with residential and commercial conveyancing matters
- Liaise with clients, estate agents, and third parties
- Provide administrative support to the conveyancing team
- Act as a point of contact for queries and updates
Requirements
- Minimum 5 years’ experience in a similar role
- Must have experience working within an attorney firm
- Exposure to conveyancing (highly advantageous)
- Proficient in Microsoft Office and related systems

No formal education or certifications are required.
