About the Role

The Office Administrators will provide high-level administrative support to the Directors, ensuring seamless day-to-day operations and effective communication with stakeholders. This role requires a highly organized and detail-oriented individual with excellent administrative skills.

Key Responsibilities

  • Manage the Directors’ diaries, keeping them informed of all engagements.
  • Screen and manage incoming calls according to the Directors’ requirements.
  • Record messages accurately and timeously.
  • Respond to queries by providing the required information promptly.
  • Maintain internal and external stakeholder relations, ensuring stakeholders are satisfied with the level of service and support received.
  • Provide secretariat support for the Directors’ meetings (take minutes, agenda etc.).
  • Edit and format submissions, memos, and other documents on behalf of the Directors.
  • Draft standard responses on behalf of the Directors.
  • Maintain workflow and filing system electronically and manually.
  • Track progress of actions, issue reminders, and provide feedback to the Directors.
  • Ensure that applicable processes (policies and procedures) are adhered to regarding outgoing and incoming submissions.
  • Prepare packs for all meetings/workshops attended by the Directors.
  • Organise Directorates’ meetings (including logistics) and draft minutes.
  • Coordinate submission of strategic reports (PMDS, Annual Reports, Strategic Plans, Audit reports etc.).
  • Arrange traveling and accommodation for Directors.
  • Process traveling and subsistence claims of Directors.
  • Monitor unit cashflow and capture expenses in the commitment register.
  • Process requests on procurement of unit required goods and services.
  • Process payment advice of procured goods and services.
  • Arrange petty cash and ensure compliance with relevant processes.

Requirements

  • 1-2 years of experience
  • Grade 12 Senior Certificate (NQF 4)
  • National Diploma in Office Administration or relevant qualifications
