South Africa: Property Administration Assistant

About the Role

We are seeking a highly organized and detail-oriented Property Administration Assistant to support our UK-based Property Management team from South Africa. As part of our remote-first operations team, you will be responsible for providing exceptional administrative support to our clients, handling phone and email enquiries, and ensuring accurate administration across property management systems.

Key Responsibilities

  • Manage and monitor the shared inbox, responding to leaseholder and resident enquiries promptly and professionally.
  • Handle inbound phone calls on behalf of the UK Property Management team and escalate complex queries where required.
  • Log all inbox and phone interactions on the maintenance management system to maintain accurate audit trails.
  • Issue welcome letters and resident communications relating to planned works, service charges, and general notices.
  • Transfer and accurately file property handover documents into Qube, including leases, Fire Risk Assessments, contracts, budgets, and year-end accounts.
  • Manage and process utility bills, including maintaining accurate meter reading records and flagging anomalies.
  • Support compliance reporting through Riskbase, including uploading findings and tracking outstanding actions.

Requirements

  • 2 years of experience in property management, block management, or lettings administration.
  • Demonstrable experience using Qube property management software (essential).
  • Solid track record within property management, block management, or lettings administration.
  • Strong written and verbal English communication skills.
  • Ability to manage a high volume of tasks independently and efficiently.
  • Comfortable working remotely and autonomously across UK business hours.
  • Proficient in Microsoft Office or Google Workspace.
