Job Description
- Diploma/Degree in Accounting, Finance, or Legal Bookkeeping
- Minimum of 3-5 years of experience in legal or conveyancing bookkeeping
- Experience working in a property law firm or conveyancing department is required
- Strong knowledge of legal accounting principles and compliance requirements
- Strong knowledge of trust accounting and conveyancing financial processes
- Excellent communication and interpersonal skills for liaising with legal professionals and clients
- Strong understanding of SARS tax regulations, LPC rules and FICA
- Proficiency in legal bookkeeping software (ie GhostPractice, LexisConvey, AJS or Pastel Accounting)
- Excellent numeracy skills and attention to detail
- Ability to handle high-volume transactions efficiently
Responsibilities:
Trust and Business Account Management:
- Maintain and reconcile trust accounts in compliance with the Legal Practice Council (LPC) rules
- Process deposits, transfers, and payments related to property transactions
- Conduct monthly bank reconciliations for trust and business accounts
- Ensure compliance with FICA (Financial Intelligence Centre Act) and other regulatory requirements
Conveyancing and Property Transaction Bookkeeping:
- Process financial transactions for property transfers, mortgage bonds, and bond cancellations
- Prepare financial statements and accounts for conveyancing matters
- Monitor outstanding payments, deposits, and disbursements related to property transactions
- Liaise with banks, clients, conveyancers, and estate agents regarding financial transactions
Invoicing and Accounts Management:
- Generate invoices for conveyancing and legal services
- Manage accounts payable and receivable, ensuring timely payments
- Process VAT calculations and submissions
- Reconcile fee statements and disbursements
Payroll and General Bookkeeping:
- Process monthly payroll for legal staff (if required)
- Manage statutory payments (PAYE, UIF, SDL, VAT, etc)
- Maintain general ledgers and financial reports
Compliance and Financial Reporting:
- Prepare financial reports for audits and tax purposes
- Ensure compliance with South African Revenue Service (SARS) regulations
- Conduct internal audits of trust and business accounts
