About the Role

We are seeking a highly organized and experienced Commercial Litigation Secretary to join our team in Johannesburg. As a key member of our commercial department, you will be responsible for providing administrative support to our lawyers and managing the day-to-day operations of our litigation practice.

Key Responsibilities

  • Dictaphone and copy typing of legal and commercial documentation
  • Formatting, editing, and conversion of documents into house style
  • Incorporating manuscript amendments into legal documents
  • Matter and document management
  • Preparation of transaction bibles and indices upon finalisation of matters
  • Monitoring and screening emails
  • Preparing and maintaining client and resource files
  • General office and personal administration support
  • Diary management and coordination of appointments
  • Answering, screening, and directing telephone calls
  • Tracking and relaying messages in the absence of professionals
  • Preparing pre-bills and billing memos and liaising with clients regarding billing matters
  • Managing debtors in collaboration with the accounts department and clients
  • Handling FICA administration and ensuring compliance requirements are completed
  • Filing and maintaining accurate records

Requirements

  • Matric essential
  • Minimum of 7 years experience as a Legal Secretary within a Commercial Department
  • Strong experience within Banking & Finance and Commercial Litigation environments
  • Secretarial Diploma, Legal Secretarial Diploma, or Paralegal qualification advantageous
