The Administrative Manager is responsible for overseeing and coordinating administrative operations within an organisation. The role is pivotal in ensuring efficient workflow, maintaining a productive work environment, and providing support to various departments. The incumbent will manage administrative staff, develop and implement policies and procedures, and contribute to the overall success of the organisation through effective administrative management. Key Responsibilities Staff Management Supervise and lead administrative staff, including administrative assistants, receptionists, and clerical personnel. Provide direction, guidance, and support to administrative team members, fostering a positive and collaborative work environment. Conduct regular performance evaluations, provide feedback, and identify opportunities for training and development. Administrative Operations Develop and implement administrative policies, procedures, and systems to streamline operations and enhance efficiency. Oversee day-to-day administrative functions, including record-keeping, document management, mail distribution, and office supplies inventory. Ensure compliance with organizational policies and regulatory requirements. Communication and Coordination Serve as a central point of contact for employees, clients, vendors, and visitors. Facilitate communication between departments, ensuring seamless information flow and collaboration. Coordinate meetings, conferences, and events as needed, including scheduling, logistics, and communication. Financial Management Assist in budget planning and management for administrative expenses, including office supplies, equipment maintenance, and facilities. Review and approve invoices, purchase orders, and expense reports, ensuring accuracy and adherence to budgetary guidelines. Technology Integration Evaluate and implement technology solutions to streamline administrative processes and improve productivity. Provide training and support to staff on the use of office software, communication tools, and other technology resources. Quality Control and Improvement Monitor administrative processes and procedures to identify areas for improvement and implement best practices. Conduct regular audits to ensure compliance with quality standards and organizational policies. Facilities Management Oversee facilities maintenance and operations, including office space allocation, equipment maintenance, and safety protocols. Coordinate with building management and vendors to address facility-related issues and ensure a safe and comfortable work environment. Qualifications: National Senior Certificate (Grade 12) Tertiary Qualification in Administration, Business Administration or related. Job-specific experience: 5 8 years experience in administrative management, with demonstrated leadership and supervisory skills .
