About the Role
We are seeking a highly organized and experienced Administrator to join our team in Milnerton. As the first point of contact for visitors and clients, you will be responsible for providing exceptional customer service while managing the day-to-day operations of the office.
Key Responsibilities
- Professionally welcome and assist all visitors and clients entering the showroom or contacting the office telephonically
- Manage incoming calls by answering, directing, and relaying messages efficiently
- Assist customers with queries, complaints, and orders while ensuring excellent customer service
- Coordinate general office maintenance, including equipment, air conditioning, plumbing, and tenant-related matters in line with body corporate requirements
- Maintain and distribute sales leads to the relevant Sales Representatives
- Handle petty cash reconciliations and submit reports to the finance department
- Ensure all invoices and supporting documentation are submitted accurately and timeously to finance with the correct billing details
- Prepare quotations and invoices for the service department and follow up on outstanding payments via email and telephone
- Perform general administrative duties including filing, scanning, and distributing correspondence to staff and clients
- Monitor and manage company vehicle license renewals
- Order office stationery, supplies, and groceries as required
- Purchase prepaid electricity for the office when needed
Requirements
- Grade 12 / Matric qualification
- Computer literate with good working knowledge of Microsoft Word and Excel
- At least 12 years experience in a similar reception and administrative position
- Own reliable transport
- Previous experience working in a fast-paced office environment
- Strong verbal and written communication skills in both English and Afrikaans
