About the Role

We are seeking a highly organized and detail-oriented Sales Assistant Secretary to join our team on a temporary basis in Randburg. The ideal candidate will be responsible for providing administrative support to our sales teams, ensuring seamless communication with customers, and maintaining accurate documentation systems.

Key Responsibilities

  • Receive, filter, log, and professionally route all incoming sales enquiries (telephone, email, and WhatsApp) to Internal Sales, External Sales, or Engineering Project Sales departments
  • Act as the first point of contact for customer enquiries, ensuring prompt, professional, and accurate communication at all times
  • Support the implementation and maintenance of efficient sales documentation flow systems in line with workflows provided
  • File, track, distribute, and control all quotations, work orders, and related sales documentation to ensure timely processing and return for invoicing, scanning, and record-keeping
  • Assist Internal Sales with preparing simple and straightforward quotations (manual and Syspro) once trained and authorized
  • Allocate and manage quote numbers using the Quote Number tracking template and maintain accurate quote status records (Completed, WIP, or On Hold etc)
  • Assist with creating simple work orders and ensure completed work orders are accurately captured on the Sales Workshop Schedule
  • Assist with processing basic Sales Orders on Syspro in accordance with company procedures once trained
  • Proactively follow up with Sales and Engineering teams on outstanding quotations and work orders, providing timely feedback to customers
  • Liaise with Stores regarding customer deliveries and collections to support on-time fulfillment and accurate communication
  • Serve as a key liaison between Internal Sales, External Sales, Engineering, Workshop, Stores, and the Operations Manager to ensure smooth coordination and operational efficiency

Requirements

  • Matric or relevant NQF qualification
  • Minimum 1 year experience in an administrative, sales support, or sales assistance role
  • Excellent verbal and written communication skills
  • Ability to multi-task and prioritize in a fast-paced environment
  • High attention to detail and accuracy
  • Strong follow-up and coordination skills
  • Basic computer literacy
