Job Description
- Matric essential, with a tertiary qualification beneficial
- At least 7 or more years experience as a legal secretary in a commercial department
- Excellent knowledge of MS Word programmes (more specifically MS Word 2010, Excel, Adobe and other PDF programs such as Foxit)
- Knowledge on Aderant Expert (CMS) accounting system
- Knowledge of FileSite/iManage
- Dictaphone and copy-typing of a wide range of documents
- Incorporating manuscript amendments to documents
- Matter management
- Formatting of a wide range of documents
- Converting and formatting documents into house style
- Preparing indices and transaction bibles once a matter is finalised
- Monitoring and screening of emails
- Preparing resource and client files
- General office and personal administration (including diary management, answering and screening telephone calls and tracking messages in the absence of the professionals)
- Preparing pre-bills and billing memos (sending same to clients)
- Managing debtors with the accounts department and clients
- FICA administration: following up to ensure the FICA requirements are complete
- Filing
- Must be well-organised and conscientious
- Strong communication skills (verbal and written)
- Strong administration and organisational skills in order to manage professionals practices
- General knowledge of legal terms
- Display specific attention to detail, including grammar and spelling
- Good interpersonal skills
- Maintain high standards of confidentiality
- Honesty, reliability and punctuality
