About the role
Reporting to the Managing Director, you will act as a key support function across the business — coordinating project activities, managing executive administration, and ensuring the smooth execution and follow-through of business priorities across multiple regions.

Key responsibilities

  • Provide high-level executive and administrative support to the Managing Director
  • Manage a busy diary, schedule meetings, and coordinate logistics
  • Track project timelines, action items, and deliverables across the business
  • Support operational coordination between departments and stakeholders
  • Prepare correspondence, reports, presentations, and operational documents
  • Take accurate meeting minutes and follow up on action items
  • Maintain organised records, files, and operational documentation
  • Assist with travel arrangements and ad hoc operational tasks

What you’ll need

  • 3–5 years’ experience in a project coordination, executive assistant, or administrative role
  • Background in a project-based or operational environment advantageous
  • Experience working across international or multi-regional operations
  • Proficiency in Microsoft Office Suite and general business systems
  • Excellent organisational and time-management abilities
  • Strong written and verbal communication skills
  • Professional, discreet, and able to work independently with minimal supervision
  • Full working rights in Australia — essential
