About the Role
The Reservationist plays a vital role in managing reservations efficiently and providing exceptional customer service to guests. This position requires strong organizational skills, attention to detail, and excellent communication abilities to ensure seamless guest experiences.
Key Responsibilities
- Handle inbound and outbound reservation requests via phone, email, website, and booking platforms.
- Accurately input and update guest information in the Property Management System (PMS).
- Monitor room availability and rates to optimize occupancy.
- Provide detailed information about room types, rates, packages, and hotel services.
- Respond promptly and professionally to guest inquiries and special requests.
- Resolve booking issues, complaints, or discrepancies efficiently.
- Liaise with Front Office, Housekeeping, and other departments to ensure smooth guest arrivals.
- Maintain communication with travel agents, tour operators, and corporate clients as required.
- Prepare daily, weekly, and monthly reservation reports.
- Maintain accurate records of all reservations and cancellations.
- Assist in revenue management by applying correct rates and promotions.
Requirements
- Education & Qualifications: Matric / Grade 12 or equivalent; a tertiary qualification in Hospitality or Tourism is advantageous.
- Experience: 13 years in a reservations or front office role within a hotel, lodge, or guesthouse.
- Skills & Competencies: Excellent communication skills (English; other South African languages are a plus).
- Working Conditions: Shift work including weekends, public holidays, and high-season periods.
