Property Services Manager

Location: Bellville / Cape Town
Reporting To: National Property Services Manager

Role Purpose

The Property Services Manager is responsible for the maintenance management of building services, including all mechanical, electrical, structural, and civil aspects of assigned properties. The role supports each asset in line with its official investment strategy and ensures accurate financial reporting, including but not limited to budgeting and cost control.

Key Responsibilities Building & Facilities Management

  • Conduct annual and bi?annual building audits to ensure proactive maintenance and accurate 5?year expense forecasting
  • Compile and manage operational and capital budgets, including general expenses, service contracts, electrical, plumbing, consumables, extraordinary and capital costs
  • Manage annual and bi?annual tenders for service contracts to ensure optimal pricing and service delivery
  • Research and implement new products and technologies to improve quality and reduce costs
  • Perform regular building inspections and train on?site staff to maintain properties to agreed standards
  • Inspect and approve work completed by contractors and authorise invoices for payment
  • Compile technical specifications for tenders and quotations and recommend suitable contractors
  • Project manage approved works from initiation to completion
  • Ensure tenant installations are completed within required timelines when applicable
  • Engage with tenants to resolve maintenance-related complaints
  • Manage and supervise on?site building staff
  • Ensure major expenses are incurred in line with budgeted timelines and update working budgets accordingly
  • Perform ad hoc tasks as required

Financial, Administrative & Reporting Duties

  • Manage general correspondence with centre management, property managers, tenants, and building staff
  • Ensure contracted services are delivered in line with service level agreements
  • Provide reports and updates to Asset Managers, Property Management, Regional and Senior Management when required
  • Compile visual and cost?accurate motivation reports for approval of major expenses
  • Attend monthly portfolio meetings to report on budget variances, outstanding work, work in progress and general operational issues
  • Assist and guide management and on?site teams with day?to?day maintenance challenges
  • Manage stock control of materials, goods, and consumables
  • Ensure compliance with procurement policies and company standards
  • Conduct performance appraisals where required
  • Manage and maintain annual service contract audits
  • Compile expense schedules, operational cost schedules, and national rates
  • Identify and communicate training, performance, and quality gaps within office and building staff

Qualifications & Experience

Qualifications:

  • Grade 12 (Matric)
  • Relevant Diploma or Degree in Services, Operations, Facilities Management or Infrastructure Management
  • Technical qualification (advantageous)

Experience & Technical Skills:

  • 710 years experience in Property Services, Facilities Management or Operations (advantageous)
  • Solid understanding of maintenance planning and scheduling
  • Willingness to travel across regions when required
  • Proficient in MS Office and relevant property/facilities software
  • Strong attention to detail, numeracy, and administrative accuracy
