This is a pivotal support role, ideal for a highly skilled Legal Secretary / Paralegal with advanced Dictaphone typing ability. The successful candidate will provide comprehensive legal administrative and secretarial support to attorneys, ensuring the efficient daily running of the practice.

We are specifically seeking a candidate with exceptional audio transcription and Dictaphone typing skills, capable of producing accurate legal documents at speed, while maintaining strict confidentiality and professional standards.

Minimum Requirements:

  • Matric / Grade 12 (essential)
  • Paralegal Diploma or Legal Secretarial qualification (essential)
  • 35 years experience in a legal secretarial or paralegal support role
  • Extensive Dictaphone typing/ fast typing experience in a labour law legal environment is essential
  • Proven typing speed of minimum 80 words per minute, with high accuracy
  • Strong experience transcribing recorded instructions, correspondence, pleadings, opinions, and legal documentation
  • Labour law experience highly advantageous
  • Familiarity with CCMA procedures and Labour Court documentation advantageous
  • Proficient in MS Office (Word, Outlook, Excel)
  • Experience on legal practice management systems advantageous
  • Valid drivers licence and own vehicle

Key Responsibilities: Dictaphone Typing & Legal Documentation (Primary Focus)

  • High-volume Dictaphone typing of legal correspondence, pleadings, notices, affidavits, agreements, opinions, and general legal documents
  • Accurately transcribing recorded instructions from attorneys within strict turnaround times
  • Formatting, editing, proofreading, and finalising legal documents to professional standards
  • Managing urgent typing requests and prioritising deadlines effectively
  • Ensuring consistency, grammar, spelling, and document presentation at all times

Legal Secretarial Support:

  • Managing attorney diaries, meetings, consultations, hearings, and court dates
  • Preparing and submitting CCMA referrals and related documentation
  • Assisting with Labour Court filings and procedural documents
  • Opening, maintaining, and closing client files
  • Handling incoming calls, emails, and correspondence professionally
  • Liaising with clients, advocates, counsel, CCMA, and court officials
  • Assisting with billing, time recording, and invoicing

Administration:

  • Maintaining accurate filing systems (electronic and hard copy)
  • Monitoring deadlines and follow-ups
  • General office administration and support to the legal team
