About the Role
The role of a Conveyancing Secretary (Transfers) at ARCS involves managing property transfer files, drafting documentation, and ensuring compliance with conveyancing procedures. As a key member of our team, you will be responsible for coordinating with clients, attorneys, estate agents, and financial institutions to facilitate smooth transfers.
Key Responsibilities
- Manage property transfer files from opening to finalisation and registration
- Draft transfer documentation and liaise with clients, attorneys, estate agents, and financial institutions
- Attend to FICA compliance and collection of supporting documentation
- Request rates clearances, levy figures, bond cancellation figures, and related certificates
- Liaise with the Deeds Office and attend to conveyancing queries
- Prepare files for lodgement and registration
- Attend to SARS applications and obtain municipality rates clearance certificates, HOA certificates, and COC certificates
- Arrange and attend to client signing appointments
- Perform general data capturing and conveyancing administrative duties
- Prepare statements of account for sellers, purchasers, agents, company costs, and bond cancellations
- Send documentation to bond attorneys and banks
- Attend to document reporting, scanning, filing, and record management
- Ensure compliance with conveyancing procedures and internal processes
- Maintain professional communication with all stakeholders throughout the transfer process
Requirements
- Grade 12 / Matric
- Minimum 6 years’ experience as a Conveyancing Secretary within a legal firm
- Extensive experience handling property transfers independently
- Proficient in Ghost Practice and Lexis Convey
- Strong understanding of conveyancing procedures and Deeds Office processes
- Experience working with SARS eFiling and municipal processes
