REPORTS TO HEAD OF SALES JOB SUMMARY The Sales Coordinator & Executive Support plays a critical role as the operational backbone of the sales function, providing high-level coordination, reporting, and administrative support to the National Head of Sales. This role ensures disciplined processes, accurate reporting, and consistent follow through across all sales activities. By managing day-to-day coordination, CRM processes, and tender administration, this individual enables sales leadership to focus on strategic initiatives and revenue growth RESPONSIBILITIES Executive & Sales Support • Provide day-to-day operational and administrative support to the Head of Sales • Manage diaries, meetings, travel arrangements, and follow-ups • Coordinate sales workshops and events, including venues, logistics, and costings • Assist with client quotations, costing packs, SLA preparation, proposals, and supporting documentation – ensuring costing templates are kept up to date • Manage email correspondence and follow-ups as required • Source and coordinate meetings with key decision-makers and stakeholders • Manage and maintain promotional materials for sales activities and events Reporting & Sales Analytics • Prepare weekly, monthly and ad-hoc sales reports. • Maintain accurate sales trackers, reporting packs and schedules. • Compile regional and national reports, including board and Exco packs • Identify data gaps, inconsistencies, and items requiring follow-up CRM & Lead Management (HubSpot) • Capture, allocate, and track incoming leads in HubSpot • Maintain pipeline accuracy and CRM hygiene • Monitor lead progress and ensure timely follow-up. Process, SOP & Meeting Coordination • Develop, update, and maintain sales SOPs, templates, and documentation • Prepare agendas, minutes, and action trackers for meetings • Track and follow up on action items to completion • Drive consistency in sales processes and documentation • Identify opportunities for system and process improvements Tender & Proposal Coordination • Monitor tender platforms and manage submission deadlines • Coordinate supporting documentation and submission requirements • Compile and prepare submission packs for final review • Maintain organised digital and physical tender records Business Development & Cross-Functional Coordination • Conduct research on target companies and key decision-makers • Source supplier quotes and supporting information for opportunities • Coordinate input and deliverables across departments • Assist with preparation of contractual documentation • Provide general administrative support including document management MINIMUM REQUIREMENTS. • Minimum Matric; relevant Diploma or Degree advantageous. • 4–5 years’ experience in administrative support, coordination, or operations (sales support/coordination advantageous but not essential). • Strong proficiency in Microsoft Office essential (Excel, Word, Outlook, PowerPoint). • Experience with reporting, tenders, and proposal coordination is essential. • Experience with CRM systems (HubSpot advantageous but not required). • Experience supporting senior management will be advantageous. • Valid driver’s licence advantageous.
