About the Role
The Back of House Administrator plays a vital role in ensuring the smooth and efficient administrative operations of our lodges’ internal departments. This position supports departments such as housekeeping, maintenance, stock control, and food & beverage from an administrative perspective, requiring a strong understanding of lodge operations and hospitality standards.
Key Responsibilities
- Provide full administrative support to all back-of-house departments
- Maintain accurate records, reports, and filing systems
- Capture and manage daily operational data (stock, maintenance logs, staff schedules)
- Assist with preparing reports for management
- Manage stock records and inventory systems
- Capture stock movements and reconcile discrepancies
- Assist with stock takes and reporting
- Liaise with suppliers and assist with ordering processes
- Process invoices, purchase orders, and supplier documentation
- Assist with budget tracking and expense monitoring
- Ensure all documentation is accurately recorded and filed
- Assist with staff scheduling and timesheets
- Maintain employee records and assist with onboarding documentation
- Support HR with administrative duties where required
- Log and track maintenance issues and follow up on completion
- Coordinate communication between departments
- Ensure all compliance documentation is up to date
Requirements
- Grade 12 (Matric) or equivalent
- Relevant qualification in Hospitality Management, Business Administration, or similar (advantageous)
- Minimum 23 years experience in a hospitality/lodge environment
- Previous experience in an administrative or back-office role within hospitality
