Position Overview

We are seeking a proactive and detail-oriented Project Co-Ordinator to join our Business Intelligence Department. The successful candidate will be responsible for coordinating media campaigns, managing project administration, maintaining business intelligence systems and data, and ensuring effective communication between stakeholders. This role serves as a key liaison between the Business Intelligence, Operations, and Merchandising teams to ensure successful campaign execution and compliance at store level.
This is a full-time, on-site position requiring occasional travel and store visits.
 
Key Responsibilities
Project Coordination & Campaign Management

  • Coordinate media campaigns from initiation through to completion.
  • Work closely with Business Intelligence team members to ensure successful campaign execution.
  • Act as the primary point of contact for media-related queries via email and telephone.
  • Communicate campaign requirements and timelines to Operations and Merchandising teams.
  • Monitor project progress and ensure deadlines are met.
  • Escalate and resolve project issues in a timely and professional manner.
  • Business Intelligence Support
  • Assist with the administration and maintenance of BI platforms, including:
    • Rubecon
    • Repsly
    • Media Dashboard
    • Route Lists
    • Special Projects
  • Support data collection, reporting, and project tracking activities.
  • Participate in weekly meetings with Operations and Management teams.
  • Assist with ongoing process improvements and reporting requirements.

Data & Administrative Management

  • Route Lists
    • Maintain and update master route data.
    • Update Representative and Regional Manager route lists within Rubecon and Repsly.
    • Ensure data accuracy and consistency across all systems.
  • Cover Sheets
    • Maintain internal cover sheets and merchandising lists.
    • Perform monthly updates and distribute documentation to relevant stakeholders.
    • Ensure all administrative records remain accurate and current.

General Responsibilities

  • Provide support across Business Intelligence processes and initiatives.
  • Assist with ad-hoc projects and administrative duties as required.
  • Contribute to continuous improvement of departmental processes and reporting.

Minimum Requirements
Qualifications

  • Bachelor’s Degree in Business, Statistics, Project Management, or a related field.
  • Experience
  • 1–2 years’ experience in project coordination, administration, analytics, or a related environment.
  • Experience coordinating multiple projects and stakeholders simultaneously.
  • Strong working knowledge of Microsoft Office Suite.
  • Experience using databases, reporting tools, and web-based applications.

Special Requirements

  • Willingness to work overtime when required.
  • Own reliable vehicle and valid driver’s licence.
  • Ability to travel nationally on an ad-hoc basis, including store visits and quarterly travel where required.
