Purpose of the job The Committee Assistant provides administrative, governance, and coordination support to the Division, ensuring the effective execution of governance processes and stakeholder engagement initiatives. This role works closely with the Company Secretariat in the (GRC) department to uphold governance and compliance standards, while also collaborating with the Experiential Marketing team in the Customer Experience function to enhance stakeholder engagement. The incumbent will leverage technology, AI, and digital tools to optimise administrative efficiency, improve stakeholder interactions, and support data-driven decision-making. Key/main outputs Output 1: Committee Administration and Governance Support Provide secretarial and administrative support to Prescribed Committees, regional specialist committees, technical subcommittees, and working groups Coordinate meeting logistics, including scheduling, agenda preparation, document collation, and minute-taking Ensure compliance with governance requirements and record-keeping Support the Technical Lead in preparing committee reports and presentations. Output 2: Stakeholder and Member Engagement Support Provide secretarial and administrative support to External Structures with stakeholders Coordinate meeting logistics, including scheduling, agenda preparation, document collation, and minute-taking at External Structures Ensure compliance with governance requirements and record-keeping Support the Division in preparing committee reports and presentations for External Structures Manage scheduling of meetings with stakeholders and members and coordinate logistics, including applying stakeholder protocols Support the Division in preparing reports and presentations for stakeholder meetings Output 3: Process Optimisation and Technology Integration Leverage AI and workflow automation tools to improve committee administration and reporting efficiency Maintain and update digital governance platforms, member databases, and committee portals Identify opportunities to streamline administrative processes using technology and best practices Coordinate and assist Division in implementation of document data management by ensuring documents are saved and stored are relevant systems (e.g. Hummingbird) or share drives Manage data produced or recorded in own portfolio to ensure integrity, security and retention of relevant data and deletion of irrelevant or unnecessary data Effectively utilise digital tools and technology to enhance productivity, streamline workflows, and improve service delivery. Stay informed about new and emerging technologies relevant to the role Adopt and embrace AI-driven tools and automation to enhance efficiency, accuracy, and effectiveness in job-related tasks, while continuously seeking opportunities to improve processes through innovative technology solutions Output 4: Compliance and Risk Management Ensure alignment with SAICAs governance frameworks and regulatory requirements. Support the Company Secretariat in implementing risk mitigation strategies for regional governance activities. Assist in maintaining audit-ready records and governance documentation Identify and support SAICAs management of risks related to sustainability, including environmental risks, regulatory changes and social risks and integrating them into business continuity and risk management plans Output 5: Finance and Procurement Assist the Division in preparation and loading of budgets and monthly reconciliation and review of budgets Assist the Division with preparation of tenders and to request external service provider quotes Assist the Division in the procurement and contracting process in accordance with relevant policies Implement and maintain record keeping procedures and ensure that vouchers, documents, contracts, risk reviews and invoices are stored as required and that a sufficient audit trail of the process is recorded and archived Assist the Division to manage the staff and committee member claims process and ensure that relevant supporting documents and approvals are obtained and stored Assist Division to follow up with Finance any statement of account or payment advice records required by service providers Actively contribute to cost containment efforts by identifying opportunities for operational efficiencies, optimising resources, and ensuring value-driven decision-making in daily activities Actively contribute to cost containment efforts by identifying opportunities for operational efficiencies, optimising resources, and ensuring value-driven decision-making in daily activities Output 6: Embrace and drive organisational transformation Actively contribute to cost containment efforts by identifying opportunities for operational efficiencies, optimising resources, and ensuring value-driven decision-making in daily activities. Stay informed about new and emerging technologies relevant to your role Adopt and embrace AI-driven tools and automation to enhance efficiency, accuracy, and effectiveness in job-related tasks, while continuously seeking opportunities to improve processes through innovative technology solutions Identify and support SAICAs management of risks related to sustainability, including environmental risks, regulatory changes and social risks and integrating them into business continuity and risk management plans Formal Education Diploma or degree in Business Administration, Corporate Governance, Law, Communications, or a related field Technical/ Legal Certification Certification in Corporate Governance, Compliance, or Secretarial Practice is advantageous. Experience 3 years of experience in administrative support, governance, or stakeholder engagement. Experience working with governance structures, committees, or regulatory bodies is beneficial. Exposure to CRM systems, AI-driven tools, and digital governance platforms is an advantage. Knowledge and Skills Corporate Governance – Strong understanding of corporate governance, compliance, and regulatory requirements Stakeholder Engagement – Familiarity with stakeholder engagement strategies and event coordination. Data and Digital Fluency – Knowledge of AI-driven administrative tools and digital platforms. Performance and Talent Management – Understanding performance and talent management policies and procedures HR Policy and Procedures – Understanding HR policies and procedures to support people management processes
