About the Role
The Documentation Controller will be responsible for ensuring accurate and timely documentation is prepared for export shipments, working closely with the forwarding division to minimize costs and maximize efficiency.
Key Responsibilities
- Pre-season planning and preparations
- Issuing mandate letters (COO/SARS) and APE registrations
- Ensuring all customers have mandate letters and APE registrations
- Maintaining in-season accuracy and integrity of documentation
- Submitting SIs to shipping lines, Titan via QX to PPECB, cargo dues via Shipshape, and Mates receipt to consignee/receivers within 2 days of ATD
- Generating commercial invoices where required for submission of SAD500
- Submitting phyto applications via QX to Ecert
- Submitting online COO applications if applicable
- Retrieving drafts from necessary platforms and checking/approving prior to submitting to clients
- Managing documentation job card, copies, and invoice copies
- Tracking and minimizing extraordinary costs payable by Forwarding Division
Requirements
- Matric Diploma / Degree in clearing and forwarding, or adequate industry work experience
- Industry training of export documentation required
- Three years relevant experience in a similar role
- Understand PPECB / DALRRD / Ecert/ Titan certification process
- Knowledge of documents required for all import markets
- Knowledge of shipping line SI/BOL process and terms
- Good understanding of export protocols (e.g. CBS, FMS, FFMS)
- Good understanding of product coding structures

- Formal education/certifications in clearing and forwarding or a related field.
