Job Description

Icon Healthcare Holdings is seeking a professional and organised Receptionist to manage front desk operations and ensure a welcoming and efficient environment at Head Office, while providing administrative and clerical support. Key Responsibilities: Reception and Front Office Management Manage the reception area and switchboard, ensuring that all incoming calls are handled professionally and directed to the appropriate departments. Welcome and assist visitors and clients, maintain a tidy and professional reception environment, and coordinate visitor access and meeting room bookings. Administrative and Clerical Management Provide general administrative support including handling courier services, mail distribution, supplier interaction. Quote and invoice capturing and maintaining office records. Assist with preparing documents, correspondence, and internal communications as required. Assist with diary coordination, meeting scheduling, boardroom bookings, and arranging refreshments or catering when required. Support to Head Office Teams Support to the Icon Managed care service. Support to the Executive assistant. General Office Coordination Support the day-to-day management of the office by monitoring office supply levels (stationary, groceries, IT supplies), coordinating with service providers when required. Take responsibility for coordinating routine office maintenance checks, identifying any maintenance issues within the office environment, and sourcing appropriate suppliers or service providers to resolve problems in a timely and cost-effective manner. Education: Grade 12; Diploma or certificate in Receptions Management or Office Administration is advantageous. Experience: 3-5 years of experience in a corporate receptionist, front office, or administrative support role, preferably within a professional or healthcare environment. Skills Required: Excellent verbal and written communication skills, strong organizational and multitasking abilities, professional telephone etiquette, proficiency in Microsoft Office Suite, and the ability to manage confidential information with discretion. A customer-focused approach and the ability to work both independently and collaboratively are essential.
