Durban: Operations Supervisor

About the Role

We are seeking an experienced Operations Supervisor to join our team in Durban, responsible for overseeing day-to-day operations and ensuring seamless execution of business processes. The successful candidate will be responsible for managing staff onboarding, payroll processing, and administrative tasks, as well as handling disciplinary procedures and workplace disputes.

Key Responsibilities

  • Recruitment: Onboarding staff as per operational requirements.
  • Drafting and issuing employee contracts.
  • Crim checks using Lexis Nexis.
  • Arranging medicals.
  • Arranging Inductions.
  • PPE ordering and issuing.
  • Loading new employees on clients systems (HSEC).
  • Regular site meetings with employees and visits to site management.
  • Payroll: Process timesheets for multiple clients (F/N and monthly).
  • Informing employees of payroll deadlines.
  • Attending to pay queries.
  • Use of payroll systems (D-BIT).
  • Admin: Quotations and rate schedules for clients.
  • General reports as requested by clients (man-hours).
  • Daily reporting on Excel to line.
  • Tracking of medicals expiry dates, contract expiry dates and badge expiry dates.
  • Ensuring all staff are compliant with valid medicals and trainings.
  • Tracking of PO funds available for the supply of all employees.
  • Sending invoices to clients.
  • Tracking payments of all invoices.
  • Tracking PPE usage and control of same.
  • Disciplinary & Dispute Management: Handle disciplinary procedures (Warning, FWW, Hearings).
  • Manage grievances and workplace disputes.
  • Prepare for and attend hearings if required.
  • Coordinate with IR team on complex cases.
