Job Description
We are seeking a professional and experienced Legal Secretary with specialized knowledge in levies collection and debt collection to join our legal team. The ideal candidate will provide comprehensive administrative and legal support while maintaining a high standard of professionalism.
Key Requirements
Essential Experience
- Levies Collection/Debt Collection Background: Proven experience in handling levies collection matters and debt collection processes within a legal environment
- Experience working with body corporates, homeowners associations, or similar entities (advantageous)
- Understanding of legal procedures related to collection matters
Language Requirements
- Fluent in English (written and verbal)
- Proficient in Afrikaans (written and verbal)
- Excellent communication skills in both languages
Technical Skills
- Microsoft Word: Advanced proficiency
- Microsoft Excel: Intermediate to advanced proficiency
- LegalSuit Software: Working knowledge and experience essential
- Ability to generate reports, correspondence, and legal documentation
Administrative Competencies
- Strong organizational and time management skills
- Attention to detail and accuracy in legal documentation
- Ability to manage multiple priorities and deadlines
- Professional telephone manner and client interaction skills
- Filing and document management
- Diary management and scheduling
Key Responsibilities
- Prepare and process legal documentation related to levies and debt collection
- Manage collection files and maintain accurate records on LegalSuit
- Communicate with clients, debtors, and attorneys professionally
- Draft correspondence, legal letters, and notices
- Maintain filing systems and ensure compliance with legal procedures
- Assist with administrative tasks including invoicing and timesheet management
- Liaise with body corporates, managing agents, and other stakeholders
- Follow up on outstanding matters and maintain collection schedules
Professional Presentation
- Corporate and presentable appearance required at all times
- Neat, clean, and professional dress code
- Professional demeanor in all client and stakeholder interactions
Qualifications
- Matric/Grade 12 (essential)
- Minimum 3 years’ experience in a legal secretary role with levies/debt collection exposure
