Pretoria: Junior Human Resources Administrator

Job Description

Recruitment & Onboarding: Assist with the end-to-end recruitment process, including: oDrafting and posting vacancy advertisements oSourcing candidates oScreening CVs and managing the recruitment mailbox oConducting HR screening processes oCapturing CVs on recruitment platform oScheduling interviews and coordinating interview / recruitment logistics oAttending interviews, where required oConducting reference checks and background verifications •Prepare recruitment packs and appointment documentation. •Coordinate onboarding and induction processes for new employees. •Prepare and distribute welcome mailers. •Capture new employees on SCubed. •Coordinate induction arrangements, meals and onboarding schedules. •Maintain recruitment trackers and recruitment reporting. •Ensure recruitment processes comply with company procedures, governance standards and selection requirements. HR Administration & Compliance: •Maintain accurate employee records and ensure all HR documentation is accurate. •Prepare and process HR-related documentation, including: oEmployment contracts. oPolicy acknowledgements. oPerformance-related documentation. •Assist with payroll input by collecting and verifying employee information, leave balances and supporting documentation. •Ensure compliance with company policies, procedures and labour legislation. •Assist with updating HR policies and procedures, where required. •Manage and maintain the biometric access control system. •Maintain and regularly update departmental and organisational organograms to ensure accuracy and alignment with approved organisational structures. •Manage the HR front office and ensure professional HR support to employees and visitors. Employee Relations, Communication & Culture: •Act as a first point of contact for HR-related employee queries. •Provide administrative support in employee relations matters, including grievances and disciplinary processes. •Draft internal HR communication, notices and posters, as required. •Assist with employee wellness initiatives, engagement activities and culture-related projects. •Coordinate and support internal events such as wellness days, blood drives and employee engagement activities. •Provide administrative support to the Culture Crew and related initiatives. HR Systems, Reporting & Projects: •Support HR projects and continuous improvement initiatives. •Compile HR reports and maintain accurate HR trackers and databases. •Assist with analysing HR data and identifying process improvement opportunities. •Ensure accurate capturing and maintenance of employee information on HR systems. •Stay updated on HR trends, legislation and best practices.
