About the Role
A leading Telecommunications company based in Centurion is seeking a highly skilled and experienced Sales Administrator & Executive Assistant to join their team. The ideal candidate will provide strong administrative support to the sales team, manage the day-to-day operations of the Managing Director, and contribute to facility management responsibilities.
Key Responsibilities
- Support the sales team with preparation, processing and management of sales contracts and related documentation.
- Ensure accuracy and completeness of customer contracts, service level agreements, quotations and pricing documentation, order forms and supporting customer documentation.
- Coordinate contract signing processes and follow up with clients and internal stakeholders to ensure completion.
- Maintain and update the sales documentation repository to ensure all files are correctly named and stored, version controlled, and compliant with internal document management standards.
- Ensure sales documentation is accessible and audit-ready at all times.
- Compile and distribute weekly sales reports, including pipeline updates, new deals/contracts signed, sales performance summaries, and outstanding customer documentation.
- Maintain sales dashboards or trackers (Excel/CRM) and ensure the accuracy of sales data.
- Liaise with finance and operations teams to ensure correct handover of signed contracts and sales-related requirements.
- Assist with administrative coordination of customer onboarding documentation and internal approvals.
- Provide full administrative and organisational support to the Managing Director, ensuring smooth day-to-day workflow.
- Manage the MD’s diary, including scheduling meetings, prioritising engagements, coordinating internal and external appointments.
- Arrange and manage travel logistics including flights, accommodation, car hire, itineraries and travel packs.
- Coordinate MD-related projects and activities, including project tracking, meeting coordination, action list follow-up, and preparation of documentation and presentations (as required).
- Maintain confidentiality and professionalism while supporting high-level executive operations.
- Support facility operations by coordinating upkeep and vendor services for the teleport facility.
- Maintain and manage all vendor contracts and SLA documentation, including cleaning services, security providers, maintenance contractors, landscaping / groundskeeping, and waste disposal / recycling services.
- Monitor vendor performance against SLA requirements and escalate service issues where necessary.
- Ensure overall facility cleanliness and readiness through routine checks and reporting.
- Coordinate ad hoc operational support needs related to the teleport site.
- Monitor and coordinate the management of a small livestock herd located on the facility.
- Ensure animal care standards are maintained through coordination of feeding schedules and water supply, monitoring basic animal health and wellbeing, coordinating veterinary visits when required, and ensuring appropriate fencing and enclosures are intact.
- Maintain records/logs of livestock-related activities, incidents, and interventions.
- Ensure livestock management integrates responsibly with facility operations and safety requirements.
