About the Role

The Procurement Administrator will be responsible for managing the day-to-day procurement activities of our organisation, ensuring accurate and timely processing of purchase orders, invoices, and other documentation.

Key Responsibilities

  • Process and manage purchase orders, invoices, delivery notes, and GRNs
  • Ensure all procurement documentation is accurate, complete, and filed within required timelines
  • Capture and maintain data on Syspro, including orders and stock codes
  • Verify that orders, pricing, and quantities match supplier documentation
  • Liaise with suppliers to resolve pricing, quantity, and delivery queries
  • Support credit requests and returns processes
  • Ensure all documentation is submitted to finance within required deadlines
  • Maintain control sheets and tracking for items sent to suppliers
  • Assist with weekly creditor payments preparation
  • Support general procurement and stores administration
  • Monitor and enforce process compliance and ‘first-time right’ principle

Requirements

Matric / Grade 12

Degree / Diploma advantageous

Proven experience in procurement or stores administration within manufacturing

Strong experience working on ERP systems (Syspro advantageous)

About the Role

The Procurement Administrator plays a vital role in managing the administrative flow of goods and services, ensuring that physical deliveries match digital records. This position acts as the gatekeeper for documentation and maintains operational continuity through the management of supplier queries and creditor payments.

Key Responsibilities

  • Process all purchase orders, invoices, and delivery notes within 24 hours to ensure they are received, matched, and GRNed.
  • Load orders onto Syspro and assist with the creation of new stock codes.
  • Prepare weekly creditor payments and manage supplier queries regarding pricing and quantities.
  • Collect and verify administrative paperwork from stores and warehouse staff to ensure correct procedures for returns.
  • Monitor time and attendance via ERS and manage prepaid electricity for facility blocks.
  • Enforce the first-time-right principle across all stores and materials administration.
  • Oversee asset management for specific company items.
